How UniFeelsHome collects, uses and shares personal information

We use personal information to understand accommodation requirements, suggest relevant options, and introduce students to selected independent accommodation suppliers. We do not sell personal information. Suppliers receiving an introduction usually act as separate data controllers and must provide their own privacy information.
1. Who we are
Desire 2 Study Ltd, trading as UniFeelsHome, is the controller responsible for personal information covered by this Privacy Policy. We are registered in England and Wales under company number 12897758, with registered office at 5 Nightingale Close, Hartford, Huntingdon, England, PE29 1SQ.

2. Scope
This Policy applies to visitors to unifeelshome.com, students and prospective students, parents or guardians, guarantors, supplier representatives, and other people who contact us or participate in our accommodation-matching service.
An accommodation supplier’s own processing is governed by its privacy policy. This Policy does not control independent websites, payment services or suppliers.
3. Information we collect
Information you provide
· identity and contact information, such as name, email address, telephone number and country of residence;
· student and accommodation information, such as university, study destination, move-in date, length of stay, budget, preferred room type, location and facilities;
· communications, enquiry details, feedback and complaints;
· parent, guardian or guarantor details where relevant and lawfully provided;
· supplier and business information, such as organisation, role, property portfolio, professional contact details, licences, insurance or verification materials; and
· consent and preference records, including marketing choices.
Special category information
You may choose to tell us about accessibility, disability, health, religion or other sensitive requirements where this is necessary to identify suitable accommodation. Please provide only the minimum detail needed. We will process and share this information only where an additional condition under data-protection law applies, normally your explicit consent, or where another legal condition applies. You may withdraw consent at any time, although this does not affect processing already carried out lawfully.
Information collected automatically
· technical information such as IP address, browser, device, operating system and approximate location;
· website usage information, pages viewed, referral source and interactions; and
· cookie and similar-technology information, subject to the choices available through our cookie controls.
Information received from others
We may receive information from a parent or guardian, a university contact, a supplier, a referral source, website and communications providers, analytics services, or public sources used for supplier verification. The person providing another individual’s information should have authority to do so and should direct that individual to this Policy.

Where we rely on legitimate interests, we consider the necessity and impact of the processing and balance our interests against your rights. You may object to processing based on legitimate interests in certain circumstances.
5. Who we share information with
We may share personal information with:
· selected accommodation suppliers, operators, agents or landlords so they can respond to a student’s enquiry and, if the student chooses, progress a booking;
· technology, hosting, website, CRM, email, communications, security and analytics providers acting for us under appropriate contractual safeguards;
· professional advisers, insurers, auditors, banks and business-support providers where necessary;
· regulators, courts, law-enforcement bodies and public authorities where disclosure is required or permitted by law; and
· a purchaser, investor or successor in connection with a genuine sale, merger, reorganisation or transfer of all or part of the business, subject to appropriate confidentiality and data-protection safeguards.
We do not sell personal information. We share only information reasonably necessary for the relevant purpose.
6. Accommodation suppliers as separate controllers
A supplier that receives a student introduction will generally decide how it uses information to respond, perform checks, offer accommodation and manage any contract. It will therefore normally act as a separate controller. The supplier must provide its own privacy information and is independently responsible for its processing. Contact the supplier directly about information it holds; you may also contact us if you need help identifying the supplier.
7. International transfers
Some suppliers or service providers may be located outside the United Kingdom, and a student may request accommodation abroad. Where UK transfer rules apply, we will use a lawful transfer mechanism, such as an applicable UK adequacy regulation or approved contractual safeguards, and carry out any required risk assessment. You may contact us for further information about safeguards relevant to your information.
8. Data security
We use appropriate technical and organisational measures designed to protect information against accidental or unlawful loss, alteration, disclosure or access. Access is limited to people and providers who need it for legitimate purposes and are subject to confidentiality or contractual duties. No internet-based service can guarantee absolute security.
If a personal-data breach creates a legal obligation to notify you or the Information Commissioner’s Office, we will do so in accordance with applicable law.
9. How long we keep information
We keep personal information only for as long as reasonably necessary for the purposes described above, including legal, accounting, complaint and evidential requirements. Our usual guide periods are:
· student enquiries and related communications: up to 24 months after the last meaningful contact, unless a longer period is needed for an active matter or legal claim;
· supplier relationship and due-diligence records: for the relationship and generally up to six years afterwards;
· complaint, dispute and legal records: generally up to six years after closure, or longer where litigation or law requires;
· marketing records: until consent is withdrawn or you object, plus a minimal suppression record to respect that choice; and
· technical and analytics information: according to the relevant cookie setting and provider retention period.
We may securely delete or anonymise information earlier where it is no longer needed. Anonymised information that no longer identifies an individual may be retained for statistical and service-improvement purposes.
10. Your rights
Depending on the circumstances, UK data-protection law gives you rights to:
· request access to your personal information;
· ask us to correct inaccurate or incomplete information;
· ask us to erase information;
· ask us to restrict processing;
· object to processing based on legitimate interests or to direct marketing;
· receive certain information in a portable format;
· withdraw consent at any time where processing is based on consent; and
· complain to a data-protection regulator.
To exercise a right, email support@unifeelshome.com. We may need to verify your identity. Rights are not absolute, and we will explain if an exemption applies. We normally respond within one month, subject to lawful extensions for complex or multiple requests.
11. Marketing communications
We will send electronic marketing only where permitted by law. You can unsubscribe using the link in a marketing email or by contacting us. Service messages about an active enquiry are not marketing and may still be sent where needed to provide the service.
12. Cookies and similar technologies
Our website may use strictly necessary cookies and, where enabled, analytics or marketing technologies. Non-essential cookies should be activated only in accordance with the choices presented through our cookie controls. More detailed cookie information, including providers, purposes and durations, should be published in a separate Cookie Policy or cookie banner settings panel and kept aligned with the technologies actually used on the website.
13. Children
The service is primarily intended for people aged 18 or over. Where a student is under 18, a parent or legal guardian should submit or approve the enquiry. We do not knowingly use children’s information for behavioural advertising. Contact us if you believe a child’s information has been provided without appropriate authority.
14. Automated decision-making
We may use filters or internal criteria to help shortlist accommodation options, but we do not currently make decisions producing legal or similarly significant effects solely by automated means. Human judgement is involved in the matching process.
15. Complaints
Please contact us first at support@unifeelshome.com so we can try to resolve your concern. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection. Current contact information is available at ico.org.uk.
16. Changes to this Policy
We may update this Policy to reflect changes to our services, suppliers, technologies or legal obligations. The latest version will be published on our website with its effective date. We will provide additional notice where a change materially affects how we use information.
